- Included tables, chairs, linens, and equipment
- Rental timeframes and event access hours. Is the included setup time adequate for your vision, or will you need to pay a fee to add additional time?
- On-site or nearby overnight accommodations

One of the most important questions to ask before booking a wedding or event venue is whether the venue has a preferred or required vendor list.
Preferred vendor lists are not necessarily a bad thing. In many cases, they can be helpful because the vendors are already familiar with the property, layout, load-in process, and venue rules. However, it is important to understand how flexible the venue is if you want to bring in your own planning team, caterer, florist, rental company, or creative partners.

“It’s also crucial to clarify vendor requirements, especially if you want to bring in a team that isn’t on the venue’s preferred list. While some venues may allow flexibility with some vendors such as florists, décor, and rentals, we’ve seen additional fees for using an outside caterer if they are not on the approved vendor list.”
During a recent venue tour we learned that the fee to bring in a caterer not on the preferred list was a few thousand dollars. This is an example of why we encourage clients to ask direct questions early, especially before signing a venue contract.
Questions to Ask About Preferred Vendors and Outside Vendor Fees
We encourage couples and hosts to hire a planner before the venue however, if you select your venue first, make sure to ask these questions:
“Are we required to use vendors from your preferred list?”
“Are there additional fees if we bring in an outside caterer, florist, rental company, or planner?”
“Do outside vendors need to be approved in advance?”
“Are there restrictions related to catering, alcohol, rentals, décor, candles, installations, or entertainment?”
“Are there fees for early access, extended load-out, or additional setup time?”
“Is there a kitchen, prep area, loading dock, freight elevator, or service entrance for vendors?”
The answers to these questions can help you understand the true cost and flexibility of the venue.
The Fine Print Can Affect the Budget
When comparing venues, it is easy to focus on the rental fee. But the venue rental fee is only one part of the overall event budget.
A venue with a lower rental fee may require additional rentals, security, staffing, catering minimums, valet, tenting, lighting, or vendor fees. Another venue may have a higher rental fee but include more essentials, such as tables, staff, or built-in A/V.
